The Challenge
Phoenix Electric operates as a trade partner on multifamily projects across Texas, but its workflows hadn’t kept pace with the company’s growth. Drawings and revisions were difficult to track, and communication relied on handwritten notes, fax orders and phone calls between the field and the office. With 30 to 40 team members managing 30-plus projects a year, Phoenix Electric needed a more efficient way to stay aligned and ensure crews always had the right information.

In the years before Procore, Phoenix Electric’s workflows were defined by paper orders and manual communication. These fragmented processes made it difficult for field teams to stay aligned with the office. “Our guys were having difficulties getting up-to-date documentation and drawings,” said President Michael Riley, noting that critical information often fell through the cracks.
Missing or outdated drawings caused scheduling problems, confusion and rework — all costly for a contractor running dozens of projects at once. The turning point came when Riley realized the team needed a digital system the field would actually use. “The main obstacle was communication,” he said. “We definitely had to retrain a lot of guys, and getting everything we needed from them was challenging.”
Procore quickly helped to solve that issue. Drawings, plan revisions and RFIs could be delivered to the field in real time, eliminating the lag between office updates and jobsite action. “The immediate results were in updating the plans we had,” Riley said. “Revisions and RFIs came in and were delivered to the field in a timely manner — that was the top improvement.”

Procore didn’t just streamline Phoenix Electric’s internal communication — it helped improve the company’s ability to work with partners. “It’s improved the relationship between us and our general contractors,” Riley said. “They know we’re attentive to what they need, what’s required and what helps improve our production.”
By working directly in the GC’s Procore account when needed, Phoenix Electric can confirm documentation, clarify requirements and keep production aligned with expectations. That responsiveness has become a competitive advantage on multifamily jobs where coordination moves quickly.

Phoenix Electric runs more than 30 projects a year with just a few dozen employees. Procore helps the company stay lean and agile without sacrificing control. “We have the ability to pull every project and make sure everything’s there,” Riley said. “If there’s a problem, we can jump in and adjust it. And if something’s missing, we can go to the general contractor’s Procore and double-check our documentation.”
