Every fixed asset installed on a project generates data long before handover. Is your team capturing it as it happens, or scrambling to reconstruct it after the fact?
That question matters more than it used to because by the time a project gets handed over to an owner, it usually has thousands of components. Fortunately, owners don’t necessarily need a record of hyper-granular pieces like lumber and screws. They do, however, have a vested interest in some of the larger-scale elements of the project, like HVAC systems, fire protection systems, and switchgear.
Plus, more owners are running computerized maintenance management systems (CMMSes) to manage their facilities. That means they don't just want to know what's installed where. They want data they can export directly into those systems to support the maintenance of these fixed assets.
That makes asset management increasingly important across the AEC industry. If you’re a general contractor thinking this is an owner problem, think again.

Why asset management matters for GCs
When owners require asset information at closeout, it can become an expensive problem for GCs. Thousands of dollars of retainage can get tied up for weeks or months, directly impacting the firm’s cash flow.
At the same time, the project costs extra in overhead as teams scramble to gather O&M manuals, warranty documentation, proof of completed inspections, and more.
It doesn’t have to be this way. If general contractors build an asset register throughout the project, they can reap notable advantages. Setting up a system of in-process asset data capture means documentation gets collected as work gets completed. Signed inspection reports, manuals, and warranties get compiled—while trade partners are still actively involved in the job to provide the required documentation.
Plus, a strong asset management system supports proper formatting. If the owner requires “smart IDs” or a specific spreadsheet template, the asset register supports alignment. It helps people see and comply with the required format at the time of installation to avoid the work of data reformatting later.
By the time the project completes, everything should be ready to collate into the handover package. Minimal end-of-job scrambling helps GCs protect their profit margins and get final retainage checks faster.
Speedier closeout also helps the project owner see the firm as a reliable partner. This helps to increase the likelihood of future work together and bolsters the GC’s reputation.
The 3 things you need for successful asset management
Even if all of that sounds good, you know the reality of the modern jobsite. Busy project teams don’t have much time or energy to allocate toward creating an asset register.
That doesn’t mean GCs are stuck facing a hassle at handover or a commotion at closeout, though. Instead, they need an asset management solution that ticks these three key boxes:
1. A tool embedded in your workflows
The fast pace of today’s projects doesn’t leave much room for additional data entry. That means successful asset management tools need to capture data as teams perform the work (e.g., through linked inspections or submittals).
By creating a continuous digital thread as assets get installed and inspected, you prevent disconnects and data dumps. Everything gets captured in an organized way with minimal extra work for your team and trade partners.
2. Centralized asset intelligence
Get a place for everything so your team can put everything in its place. This way, your PMs don’t have to spend the last weeks or months of a project sifting through email chains or shared drives to find asset data.
Just as importantly, a centralized repository for asset data loops subcontractors in. They have a dedicated place to deposit information about that chiller or fire safety system they just installed. That means you don’t have to chase them down for that info long after they’ve moved onto other projects.
3. A solution built for the full lifecycle
For GCs, any effort directed toward asset management usually centers on streamlining closeout. But accurate asset registers give owners a structured foundation that spans from planning through the life of the asset, supporting proactive maintenance in the systems they already run.
When your asset management system captures data in the format owners need (e.g., COBie), it supports the asset—and the building—for its full lifecycle. Owners have an easier time planning proactive maintenance, keeping the asset functioning.
And that delivers benefits for the general contracting firm. Specifically, that boosts the project’s long-term outcomes. This foundation for the full lifecycle helps you maintain the owner’s favor well beyond closeout. That increases your chances for repeat business and a positive reputation in the communities in which you build.
Building an asset management workflow that works
Having an asset management system isn’t enough. You need a workflow that captures what you need while minimizing burden for your team.
With a centralized asset register that embeds into your existing workflows, you can serve owners everything they need for the build’s full lifecycle. That cuts closeout commotion, protecting your margin. And it helps you build good owner relationships that last.
As a result, a strong asset management workflow supports individual jobs at a project level and company success at a portfolio level.
