Building better mechanical systems with a connected platform

Pitt Meadows Plumbing & Mechanical Systems uses Procore to collaborate, help win more bids, and manage assets with confidence

The Challenge

Before Procore, Pitt Meadows Plumbing and Mechanical managed projects through paper files, manual communication and the occasional Dropbox folder. Teams lacked a single location for drawings, documents and updates, making it difficult to collaborate or track progress, especially across regions. As the company took on larger and more complex mechanical projects, the need for one dependable platform became critical.

The Solution

With Procore, Pitt Meadows gained a unified system that connects teams across dozens of active projects at a time. With drawings, inspections, submittals, RFIs and daily logs all in one place, everyone from field staff to ownership gained real-time visibility into every stage of the job. The platform now serves as a central hub for collaboration, risk mitigation and quality control across the entire portfolio.

Better mechanical construction through collaboration

For over 40 years, Pitt Meadows Plumbing and Mechanical has been delivering complex mechanical systems for industrial, institutional and mixed-use projects across British Columbia. With more than 400 team members spread across the province, the company needed one platform to keep everyone aligned.

Because Pitt Meadows adopted Procore early — becoming one of the first specialty contractors in Canada to implement the platform in 2012 — the company has grown alongside the product itself. Their first project executed with Procore was Yorkson Middle School, marking the start of a long-term digital transformation that now spans more than 50 active projects.

“At first, what we most needed from Procore was a platform for collaboration,” said Breanna Halliday, Construction Administration Manager. “Just one platform to connect us all so no matter where you were, you could jump online and see where a project was at.”

Procore quickly became a critical component of Pitt Meadows' centralized, connected ecosystem of tools that support project delivery, coordination, fabrication and material management. Drawings, specs, RFIs and inspections now live in one place, linked together so everyone can find what they need instantly. This visibility has helped Pitt Meadows stay on budget and avoid costly mistakes, with features like the inspections tool resolving conflicts before they can slow things down. “With Procore as our single source of truth, everyone can reference the timestamps and photos when there’s a difference of opinion,” Halliday said. “That’s helped us avoid rework by catching the conflict early.”

An upper hand in bidding and procurement

Beyond providing a single source of truth, Pitt Meadows believes that the use of a centralized solution has become a strategic advantage for the company during the bidding process. “When bidding on projects, we use Procore as an example of how we mitigate risk, avoid costly mistakes and collaborate in real time,” Halliday said. “It definitely gives us an upper hand in bidding and procurement.”

This transparency extends to leadership. “At any point in time, ownership can jump on Procore and see exactly where a project stands,” Halliday said. “It gives them peace of mind that we’re on track and resolving issues right away.”

The company’s culture reflects that same clarity. “We’re driven by people but fueled by technology,” Halliday said. “We use Procore to give our team the tools they need to succeed on a job site. When people have that technology, they want to work with it.”

A smarter way to manage materials inventory

As mechanical systems grow more complex and geopolitics wreak havoc with material supply, inventory management becomes even more critical. To meet the moment, Pitt Meadows is using Procore alongside SiteSense to track tools, equipment and materials across its Shop XL warehouse and job sites.

“Working hand in hand with Procore and SiteSense gives us a real understanding of what material and equipment we have and where we can move it,” Halliday said. “It gives us a greater sense of inventory and availability.” This visibility helps keep fabrication and installation aligned and reduces slowdowns caused by missing or delayed items.

Automation and AI that elevate the workforce

Pitt Meadows is proud of its ability to embrace technology that strengthens productivity without replacing people. For example, the company built a custom API app that works with Procore to automate timecards. The bot checks cost codes, comments and errors, then extracts and organizes the information automatically. “Timecards are now fully automated,” Halliday said. “That means our project managers and coordinators can focus on staying on schedule and resolving conflicts.”

They are also not afraid to embrace AI as a force multiplier. “AI has been a fabulous tool for submittals and RFIs,” Halliday said. “It helps tidy them up and gives our team confidence when they’re communicating with general contractors and owners.”

Beyond documentation, Pitt Meadows is piloting advanced fabrication technologies. At Shop XL, the company beta tested Novarc’s NovEye, an AI-enabled vision system for robotic welding. The data helps improve weld consistency, reduce fatigue and feed insights back into BIM and fabrication workflows.

Building the future of mechanical construction

Looking ahead, Pitt Meadows sees Procore as a long-term partner in its vision to redefine mechanical construction.

“As someone who’s worked with Procore for such a long time, we’re incredibly happy with the support and accessibility,” Halliday said. “It’s a huge game changer for our projects. Procore fuels our team, helps us avoid costly mistakes and gives us the stability that everything is taken care of and safe — all on one platform.

“Pitt Meadows Plumbing and Mechanical's vision is to redefine the future of mechanical construction,” Halladay continued, “and Procore is leading us in that direction by providing us with a platform that we can all use and collaborate together with.”
