Precision matters in healthcare construction

MACC specializes in healthcare environments where precision isn’t optional. Projects often involve MRI suites, imaging labs and emergency departments — spaces where mistakes can delay care and erode client trust. 

As the company grew, leadership began to see cracks in how information was being managed. Financial data lived in one place, field updates in another and change orders were often handled manually. “There were just too many opportunities for things to go wrong,” said Assistant Project Manager Harrison Winter “You could do everything right in the field and still create confusion just because the numbers weren’t lining up.”

A solution that didn’t solve the problem

Before Procore, MACC attempted to modernize with another project management platform. On paper, it looked promising. In practice, it added friction. Financial markups still had to be entered by hand, data had to be moved between systems and small mistakes were easy to miss.

“One wrong insurance percentage or markup could throw everything off,” Winter said. “Then you’re explaining to a client why a number doesn’t look right, even though the work itself was fine.”

That experience made the team cautious. They weren’t looking for flashy features — they wanted something dependable. “We needed a system where you could go from start to finish in one place,” Winter said. “Less retyping. Less room for error.”

Reducing risk through financial clarity

With Procore, that clarity finally came into focus. Estimates now flow directly into budgets, commitments and invoicing without being re-entered. When changes happen, their impact is visible immediately. “It’s made a huge difference in how confident we feel talking to clients,” Harrison said. “The numbers are right there, and we can explain them clearly.”

Senior Operations Manager Angela Phillips echoed that sentiment from an operational perspective. “It just allows us as a smaller company to do more with fewer people,” she said. “We’re not spending time fixing mistakes or reconciling numbers — we’re actually managing projects.”

That financial accuracy has reduced disputes and strengthened trust, especially important in healthcare work where owners expect transparency at every step.

Keeping the field and office on the same page

Procore has also tightened coordination between the job site and the office. Superintendents log daily reports with photos, track workforce counts and document issues as they happen. Project managers see updates in real time instead of chasing emails or phone calls.

Punch lists are created and closed directly in the system, with photos and assignments attached. On one project, the team caught a missing wall-blocking detail early — before millwork arrived — avoiding rework and schedule delays. “Those are the kinds of things that used to slip through,” Winter said. “Now they don’t.”

Building a foundation for sustainable growth

MACC operates with a lean team of roughly 20 to 25 people, and hiring remains a challenge. Rather than scaling headcount, the company has focused on strengthening its systems. Procore has become central to that strategy.

“It’s helped us work more consistently and with less stress,” Angela said. “We can handle more projects without feeling stretched too thin.”

Looking ahead, the team sees opportunities to use Procore’s reporting and analytics tools to continue refining how they work. But the biggest change is already here: fewer errors, clearer communication and a level of control that supports both today’s projects and tomorrow’s growth. “Procore gives us the confidence to take on more work without adding chaos,” Winter said. “It lets us grow the right way.”
