The Challenge

In construction, change happens fast. As the Operations and Technical Development Coordinator, it's Matthew Redman's job to make sure that his teams evolve even faster. That's why, when he noticed his project managers and accountants were in the middle of a power struggle for control over project budget data, he streamlined the job costing workflow before it could cause any fee erosion. Here's how:

Up until 2015, Del Amo was using a combination of Timberline Project Management and Sage accounting software. The systems talked but not very well and it always seemed that the data they needed to make important decisions wasn't available without searching through hundreds of reports between the two systems. And this was impairing their project managers visibility into project budget and cashflow.

Each time a financial decision was made in the field, project managers had to go through a process of sending financial information to accountants, waiting for the information to be input, and until the systems were synced Project managers were forced to work off of outdated budget information. By the time information got in the correct hands, a build could have been delayed for several hours.

The Solution

Matthew helped streamline Del Amo's workflows by using Procore’s Financial Management products and app marketplace integrations tools to take job costing out of the office and into the field, where it belongs. Now, project management and accounting can play nice. The field has immediate access to job costing information; freeing them from their reliance on the office to make better, faster decisions. At the same time, accountants no longer waste time by playing liaison for field teams.

Procore allows us to get the potential exposure of client's costs out in front of them that much quicker.

Custom Reports Save Time

Executives need quick, easily digestible financial information. With Sage Timberline, their previous solution, project managers needed to search through a lengthy list of 300 standard reports before finding exactly what they needed. Procore's custom reports tool allows for full customization of reports. Del Amo gets the information that they need, exactly how C-level stakeholders need it to quickly make confident, informed financial decisions.

Change Events mitigate unapproved exposures

Change orders need to be created quickly in order to manage unforeseen costs. Using Procore's mobile application, change events can be created anytime, anywhere. And project managers can send potential exposures to their owner for approval to quickly reduce the Del Amo's risk of non-recoverable change orders.

Real time updates with one single source of truth increases productivity

Del Amo uses Procore as a central hub that houses real time updates on project dashboards. Now, project managers can cut down on the time spent on the phone relaying information to their owners. Meanwhile, general contractors can be confident that subcontractors have everything they need to avoid rework, and remain productive throughout the project.

Sage Accounting Integration

Del Amo's project management and accounting teams have different needs. With Procore's financial integrations, their accounting team is able to utilize the Sage integration to sync data directly into a project in Procore's Financial Management products. Owners, project managers, and executives can easily track the budget and project progress without ever leaving Procore.
