The Story

"We document a lot—in fact, we were accused of documenting too much by our customers," says Bass Installation’s President Stephen Callender, a self-described jack of all trades. And he isn’t joking.

With numbers like 13,000 photos across 7 projects, Bass Installation has always been diligent when it comes to tracking information and keeping data. But while it proved to be useful for project stakeholders, the sheer volume of it was overwhelming—not to mention, it was becoming increasingly difficult to keep organized.

"Everything was in Excel in different folders so information was spread out all over. It was just a lot of manual work," explains Stephen. "To put it in perspective, for one change order, someone would have to create an Excel sheet, then transfer that into a PDF, attach drawings to it, and then put pictures in there to build a whole file."

Health and Safety Manager Rob Gabriele adds, "Just think about that. You would look at one change request, and you’d have to guess it took somebody at least an hour or two to create that one request. If you had three of them, that’s easily 10 hours a week."

The team knew it was time to find a better way.

"We were looking for a one-stop-shop that would give us up-to-date information in one place," says Rob. "It’s hard to even think about what we were doing before. Now, the field staff have everything they need with them—they’re able to do their daily logs throughout the day because it’s so quick. A delivery will come and they’ll enter it into Procore in two minutes. Before they would wait sometimes two, three, four days."

And what about all those photos? "We love Procore’s photo library. It’s all documented—it’s set up by date, you can put it in albums, and you see everything in one place," says Stephen.

With more streamlined data collection, accessible from one platform, Bass Installation reinforced their commitment to both quality and efficiency. "Our clients have all the information and it helps us retain them. They can see exactly what’s going on with the project at any moment."
