Park House, Richmond: A deadline-driven multi-party handover

How D5 Build used Procore to coordinate the developer, buyers, commercial tenants and Body Corporate across a high-end mixed-use project.

The Challenge

D5 Build delivered a mixed-use development in Richmond with 14 apartments, two commercial tenancies, five levels and 2.5 basement levels.

This was not a standard apartment handover. The developer, apartment buyers, commercial representatives, superintendent and Body Corporate representatives reviewed the project. Each party brought high expectations and contractual requirements.

D5 Build needed to manage inspections across apartments, commercial areas and shared spaces. Buyer selections and variations had to be checked against drawings and specifications. With multiple parties raising observations, the team needed a clear record of each request, D5 Build’s scope and responsibility for rectification. Without it, disputed variations, missed revisions and incomplete work could cause rework and delay practical completion.

The Solution

One record for drawings, defects and claims

D5 Build configured Procore as the project record. The team uploaded drawings and linked fixture schedules, specifications and buyer variation lists, giving site managers information on site.

The team created room-by-room inspection templates covering taps, toilets, joinery, finishes and incomplete work. Site staff recorded results, attached photos and raised observations during inspections.

Purchasers, the superintendent and Body Corporate representatives received controlled access to submit observations with descriptions and photos. D5 Build retained control of permissions, reviewed each item and assigned it to the right trade. Lists could be filtered by apartment, location, company or work type.

Procore Photos, Site Diary, Financials and Invoice Management connected project records with subcontractor claims. D5 Build could compare claimed amounts against completed work and keep variations, defects and payments tied to the project.

With so many parties involved, our Park House project needed a new defect process. Procore let everyone record and resolve issues together, reducing disputes and giving us the control a high-end handover required.

D5 Build closes out with evidence

D5 Build managed 1,900 observations and reduced open items to fewer than 30, meeting a practical completion requirement.

Reports showed which items had been raised, assigned, rejected, repaired and closed. Linked buyer variations helped the site team resolve queries in real time and redirect matters outside D5 Build’s scope.

The project demonstrated D5 Build’s ability to manage handover across residential, commercial and shared areas. The company estimates that its inspection and defect process improved quality outcomes by 50 per cent. D5 Build has since adopted the approach across its wider portfolio.
