The Challenge

Keeping repetitive work on program without losing control

Hope Downs 1 forms part of the Greater Hope Downs iron ore hub, located in Western Australia’s Pilbara region. Yurra’s Hope Downs 1 village room-refurbishment project involves more than 1,000 accommodation rooms delivered over several years in a remote Fly In Fly Out (FIFO) environment. Although each room follows a similar refurbishment sequence, the scale of the program means even small gaps can have a significant impact. For example, small gaps in labour coding, procurement, quality documentation or additional-scope recovery can quickly affect project performance.

Each room or block is expected to move through delivery within approximately 19 to 26 days, depending on its type and the work required. The team needs to understand where labour is being used, whether rooms are progressing to plan, whether purchasing remains within budget and whether every inspection, test certificate and sign-off is complete.

Rotating supervisors add another layer of complexity. When people move on and off site for R&R as part of the FIFO requirement, project information is not accessible if it remains in individual inboxes or relies on verbal handovers.

The Solution

Connecting every room to the same project record

Yurra uses Procore Project Management and Cost Management to give site and office teams one consistent structure for the project. Locations, cost codes, permissions and workflows are standardised so information can be recorded and reviewed in the same way across every room.

Supervisors use Procore to access current drawings, manage RFIs and correspondence, and complete room-based ITPs and Action Plans. Checks, signatures, photographs, test sheets and certificates remain linked to the relevant room, allowing the project team to see what is complete and where evidence is still outstanding. The quality record is built during delivery rather than reconstructed at handover.

Procore’s Budget, Commitments, Invoicing and Progress Claims tools connect budgeted, committed and billed costs. Timesheet data can be reviewed by room type, role and activity, while reports and dashboards help the team identify labour trends and investigate when delivery moves away from expected productivity. The same information supports payroll, project cost reporting and monthly labour reporting.

With project information connected in Procore, Yurra can identify coding issues, incomplete quality records, procurement exposure and unclaimed additional work earlier. The platform also supports continuity during R&R, because authorised team members can follow the history of an issue without relying on a personal mailbox.
