As a rapidly and successfully growing start-up company, SMLXL recognised its largely paper-based and highly manual project construction administration would begin to hinder company growth, opportunities and future success.

How efficiency can magnify operations

SMLXL’s project management administration processes were built and managed on the fly. In early 2019, the team realised document control still posed a challenge for project management, and this impacted its daily operations.

Inefficient manual administration is now a thing of the past, and the company no longer diverts staff from project management to administration to manually input data from forms to spreadsheets.

“All of our team members have the ability to access Procore project management via the app—meaning our staff is equipped at all times with a fundamental business tool. It has become a seamless part of the way we operate our business and maintain visibility and communication across our projects,” said Lisa.

This ease of use of Procore also helps the firm not only meet but exceed its standards and KPIs.

“Our project and site managers now find it easy to submit daily information for site diaries, and toolbox talks, plus tracking and closing out defects to completion. Having a defect list that helps prompt and resolves actions more efficiently has been crucial to transforming our productivity and efficiencies,” she said.

Unexpected benefits courtesy of the ability to manage, organise and transmit documents from a central location impressed SMLXL. According to Lisa, “By no longer issuing multiple or large format documents during an estimating or tendering phase—now centralising them within the Procore platform—we are significantly more efficient.”

The implementation of Procore Financials for SMLXL is part of the company’s strategy to build a 360-degree view of the business.

“Procore Financials is the logical next step of our company’s financial strategy. By integrating project management with financials, we can centralise the set-up of head contracts and subcontracts and receipt of invoices to having total visibility into budgets, expenditure, and cash flow. We now have an automated and very clear picture of our financial position,” she said.
